How to Reserve a Meeting Room

ATTENTION NON-MEMBERS - EVENING & WEEKEND BOOKING POLICY
Our business hours are Mon - Thurs, 8:30am to 4:30pm, and Fri, 8:30am to 12:30pm.
Bookings outside of business hours are NOT permitted without prior arrangement with staff.
Prior to creating an after-hours (evening/weekend) booking, you MUST call Roman at 519-433-7876 x224 during business hours to arrange for key-card pickup.
Otherwise, your booking will be cancelled and refunded.


COVID-19 PROTOCOLS
Effective January 3, 2023, masking is no longer mandatory at Innovation Works.

Collaboration Station

Need to get on top of things? This 36 x 21 room sits at the very top of our incredible 32,000 square foot social innovation shared space. A flexible space, surrounded by exposed brick walls, it's the perfect spot for collaborative projects, workshops, or small student classes hosted off campus. Please note that this room is accessible by the back stairwell only - and there is no accessible washroom available on this floor.

The Quiet Space

Located in our lower level, The Quiet Space is an ideal location for yoga, meditation or quiet practices. Our laminate flooring is warm and our beautiful sails on the ceiling is the perfect place to practice. Please refrain from using technology in this space.

  • Capacity: 10-15
  • Intended for quiet practices, e.g., yoga, meditation.

Meeting Room Details (with the exception of the Quiet Space)

Each Meeting Room comes stocked with:

  • Chairs and tables (free)
  • Guest WiFi (free)

You can also book:

  • Flipchart and markers (free)
  • Projector ($25 for External Bookers; free for Innovation Works Co-Tenant Members)

If you book a flipchart or projector, you will be told where to find it (after-hours bookings only). If equipment is not returned, you will be charged the replacement value of each unreturned item.


Our second floor kitchen:
Innovation Works has a non-commercial kitchen which you are encouraged to use. The rule is clean what you use (dishwashers on-site).

Should you decide to have your meeting catered, please encourage the caterer to use recyclable dishware and cutlery. We are doing our best to be friendly to the environment and reduce waste.

 


Booking Policies

We’ve included a few details here about accessing the space outside of business hours and on weekends, where to find your equipment, and how you will be invoiced. For the full picture read our Meeting Room Rental Policies.

Meeting Room Rental Policies


Cancellations:

We require 3 business days to cancel your Meeting Room booking. Where 3 or more business days notice are not given, the full amount will be charged.

Credit card transaction fees incurred from booking cancellations are non-refundable, regardless of whether sufficient notice to cancel is provided.

If you are an Innovation Works Co-Tenant and you do not cancel three (3) business days in advance, these hours will be deducted from your monthly allotment or overage charges will be applied.
 
Innovation Works Co-Tenants can modify or cancel a room booking directly in the Members Portal under the Bookings Tab.
 
External bookers must contact bookings@innovationworkslondon.ca to cancel or modify a meeting room reservation.


After-Hours Access:

Please note that if your booking is not within Innovation Works’ operating hours, you must pick up an Event Pass in advance, during regular business hours.

You will be asked to sign a release form and given a mini orientation by an Innovation Works staff member or volunteer.

There is a $75 charge for unreturned Event Passes. There is a charge of $50 in the case that a room is left unclean or damaged.

You will return the Event Pass in the designated key return box, shown to you when you sign out the key.


Payment:

Co-Tenant Members:
You will continue to be invoiced monthly for meeting room bookings in excess of you membership plan's alloted hours. 

External Bookers: 
External bookers will be invoiced and charged immediately at the time of booking.

For your first booking in our new system, OfficeRnD, you will be asked to set up an account and provide payment details (collected and stored securely by Stripe).

Once your first booking is processed, sign in to your OfficeRnD account for all future bookings.
