How to Reserve a Meeting Room

Click on the option that applies to you or your organization:

  • An account has been created for you. Once you've activated your account, simply sign-in to OfficeRnD to check availability and reserve meeting rooms.

    Please contact us if you having difficulty accessing your account.

  • If you (or your organization) is a member of Pillar Nonprofit Network, please contact us to setup an account that enables discounted member rates for meeting room bookings.

    Once you receive your new account info, you can then sign-in to OfficeRnD to check availability and reserve meeting rooms.

  • IMPORTANT: Please see the note below regarding after-hours bookings for non-members

    If you are not a Co-Tenant Member and it's your first time booking a room in our new system:

    1. Choose a Meeting Room below and click “Book Now” to check availability. You will be redirected to new public meeting room calendar in OfficeRnD.

    2. Reserve a meeting room directly on the calendar using a click/drag/unclick motion spanning the desired timeslot.

    3. To complete the booking, you will be required to create a new account and provide billing details (collected and stored securely by Stripe).

    4. Please complete all fields with as much detail as possible to ensure we can properly prepare to assist you on the day of your booking.

    5. Once your payment is processed, the booking will be confirmed in our system; we will follow up with you if we require more information.

    Once you've completed your first booking in OfficeRnD, you can bypass this page and simply sign-in to your OfficeRnD account to check availability and reserve meeting rooms.

EVENING & WEEKEND BOOKING POLICY

Our business hours are Mon - Thurs, 8:30am to 4:30pm, and Fri, 8:30am to 12:30pm.
Bookings outside of business hours are NOT permitted without prior arrangement with staff.

Prior to creating an after-hours (evening/weekend) booking, you MUST email Dan to arrange for key-card pickup during our business hours. Otherwise, your booking will be cancelled and refunded (minus ~3% payment processor fee).

Located on the 2nd floor, northwest corner

This Boardroom is fully equipped for hybrid-meetings, and features a long, spacious table situated squarely inside a sunlit room. Perfect for team meetings, workshops, and presentations.

Need to get on top of things? This 36 x 21 room is a flexible space, surrounded by exposed brick walls, it's the perfect spot for collaborative projects, workshops, or small student classes hosted off campus.

Looking to be in the midst of it all? The Solutions Lab is fully-equipped for hybrid-meetings. Enclosed by three sides of glass windows, this space provides plenty of room for ideation and creation.

Need a space to really engage with one another? The brightness of this 10x12 room is sure to get the creative juices flowing.This room is perfect for folks looking to feel the energy of Innovation Works while they meet.

Bright and quiet 15' x 12' meeting space located on the main level on Innovation Works. This room is perfect for team meetings, interviews, or as a secondary room for a breakout session from our main event space.

Are you looking for the perfect spot for your next photo or video shoot? located just off the main entrance by our cafe, this lounge boasts abundant natural light, stylish exposed brick walls, and warm, inviting decor.

    • Available after regular office hours:
      Monday to Thursday after 4:30 pm, Friday after 12:30pm and anytime Saturday, Sunday and stat holidays.

Meeting Room Policies

Please review our meeting room policies below prior to using our facilities. If you have any questions that are not addressed below, please contact us for assistance.

  • Innovation Works’ regular business hours are Mon-Thurs, 8:30am – 4:30pm, and Friday, 8:30am - 12:30pm. If you are an Innovation Works co-tenant, you can access the building 24-7 using your FOB.

    If you are not a co-tenant, meeting room bookings that occur outside of these hours will require an Event Pass. Contact bookings@innovationworkslondon.ca to coordinate a pick-up time in advance of your booking.

    If you booked a projector you will need to pick that up during daytime hours as well and drop it off at the welcome desk when you have finished using it. Projectors used after hours follow a different drop off procedure, which will be reviewed when you pick up your Event Pass.

    It is the renter’s responsibility to pick up the Event Pass during business hours; failure to come before your booking could mean that you are unable to access your room.

  • 1) Many people use Innovation Works facilities every day; please be respectful and book enough time at the start and end of your rental to account for any additional setup or cleanup time.

    2) Users of Meeting Room facilities are responsible for their own room setup and cleanup, unless otherwise agreed to. This includes putting debris in the appropriate recycling/garbage bin, washing all dishes that have been used, placing used flipchart paper into the recycling, and wiping off the whiteboards. Failure to leave the room(s) in a clean and undamaged condition will result in a minimum cleaning fee of $50. A clean space is a happy space!

    3) If you remove or rearrange tables, chairs, or other items from the room, please return them after the booking is finished!

    4) If you require assistance during business hours, please inquire at the Welcome Desk and we will happily help.

    5) Please hang up any signage on our walls with sticky tack instead of tape, which can peel off our paint.

    6) We strive to produce as little waste as possible. This means avoiding disposable items, especially bottled water, and using kitchenware and non-disposable platters as much as possible. For large events, biodegradable disposable items are a preferred option.

    7) Users agree to pay for any damages caused to Innovation Works, its equipment, and its surrounding property as a result of the Meeting or Event. Please treat our space and equipment with love and care! Please approach the Welcome Desk at any location for assistance in finding the items you have booked

    8) Reserving a Meeting Room does not include use of the Innovation Works workspace. Innovation Works is home to hundreds of co-tenants, so please be conscious of noise and foot traffic when using Meeting Room(s). Sometimes this may mean taking off shoes that may cause noise!

    9) Innovation Works management reserves the right to monitor all functions being held on the premises. It also reserves the right to refuse space to any group that it considers inconsistent with the purpose and policies of Innovation Works.

    10) Innovation Works is not responsible for items left unattended, nor is Innovation Works responsible for unsecured rooms and common areas. We wish we had superpowers, but sadly we can’t be everywhere at once.

    11) The provision of alcoholic beverages on Innovation Works premises must be approved by Innovation Works staff prior to your booking. Any unapproved alcohol distribution in Innovation Works Meeting Rooms is considered illegal and will result in the inability to book Innovation Works space in the future, a potential financial penalty, and potential legal ramifications.

    12) There is a chance that Innovation Works may assign a different but comparable room to the user group, but will give notice and our full thanks for your understanding!

    13) With the exception of the Solutions Lab, microphones and other amplification equipment are not permitted in Meeting Rooms during regular business hours, as this may affect our tenants and other Meeting Room renters. Computer speakers are permitted and we ask you to be courteous of those around you.

    14) Public bookings require payment via credit card at the time of booking. Innovation Works Co-Tenants, however, are not required to pay upfront, and instead receive a monthly invoice for any meeting room charges in excess of their plan’s meeting room credits.

  • We require 3 business days to cancel your Meeting Room booking. Where 3 or more business days notice are not given, the full amount will be charged.

    Credit card transaction fees incurred from booking cancellations are non-refundable, regardless of whether sufficient notice to cancel is provided.

    If you are an Innovation Works Co-Tenant and you do not cancel three (3) business days in advance, these hours will be deducted from your monthly allotment or overage charges will be applied.

    Innovation Works Co-Tenants can modify or cancel a room booking directly in the Online Portal under the Bookings Tab.

    Non-co-tenants must contact digital@innovationworkslondon.ca to cancel or modify a meeting room reservation.

  • Please note that if your booking is not within Innovation Works’ operating hours, you must pick up an Security Key during our regular business hours (M-Th 8:30am-4:30pm, F 8:30am-12:30pm) in advance of your booking, otherwise your booking will be cancelled and refunded (minus ~3% credit card transaction fee). Please email bookings@innovationworkslondon.ca to make arrangements for Security Key pickup.

    You will be asked to sign a release form and given a mini orientation by an Innovation Works staff member or volunteer.

    There is a $75 charge for unreturned Security Keys. There is a minimum charge of $50 in the case that a room is left unclean or damaged.

    You will return the Security Key in the designated key return box, shown to you when you sign out the key.

  • Co-Tenants:
    You will be invoiced monthly for meeting room bookings in excess of you membership plan's allotted hours.

    Public bookings:
    Public bookings will be invoiced and charged immediately at the time of booking.

    For your first booking, you will be asked to set up an account and provide payment details (collected and stored securely by Stripe).

    Once your first booking is processed, sign in to your OfficeRnD account for all future bookings.

  • By renting spacing at Innovation Works, you agree to release, hold harmless, and indemnify Pillar Nonprofit Network (the owner/operator of the Innovation Works building) from any and all liability, costs or other claims resulting from any and all claims originating as a result of the Organization’s use of the premises, equipment, or any and all other facilities provided at Innovation Works for the Organization.

    Failure to comply with the above policies, excessive noise, failure to pay for rental services, and/or damage may result in additional charges and the loss of rental privileges at Innovation Works.
